Troubleshoot a Printer That Says Offline

An offline message does not always mean the printer is broken. First make sure it is powered on, finished starting, and showing no paper, cover, or supply warning. Check the cable at both ends for a wired connection, or confirm the printer is connected to the intended Wi-Fi network if it is wireless.

Look at the computer’s printer settings and confirm that the correct device is selected. A system may list several printers with similar names, including an old copy from a previous setup. If the printer is shared through another computer, that host may need to be awake and connected for printing to work.

Review the print queue for a paused job or document blocking later tasks. Cancel only jobs you recognize, then send a small test page. If the queue remains stuck, follow the operating system’s printer troubleshooting steps. Restarting the printer and computer may refresh the connection, but avoid repeatedly power-cycling during an active update or maintenance process.

If the device stays offline, print or view its network status report and compare it with the computer’s connection. Check for router changes, a guest network, or a changed password. Reinstalling drivers should come after these basic checks, since it may not fix a network issue. Keep a note of any error message for model-specific help.
